Home Owner Association Services provides the following services included in the base per home fee:
  1. Administration of membership enrollment and billing and ongoing database information.

    We handle all of the day to day administration of your association’s properties. We interface with title companies to assist in keeping the association informed to in process real estate transactions. We take care of verification of compliance with assessment, filing small claims through our attorney or yours, filing liens and verification of releases.

    In addition we routinely verify property records through various government agencies to maintain your association’s information.

    We send out your billings, under your identity, and as often as you need. All you pay is actual postage used.

    In addition we provide for various methods of communications with your membership. These are defined by the members themselves. This assures your membership that they stay informed, in the manner best suited for them.

  2. Administration of association’s accounts payable and receivables.

    We handle all of the processing and depositing of your member’s assessment and dues. The payments are mailed directly to us. No more lost assessments in the paper shuffle.

    Bills are scanned into our system, by your authorized officers, or our staff. These are then authorized for payment on-line as outlined in your organizational structure. Payment is then sent out to the providers of service on a weekly basis, keeping your good name intact.

  3. Fully function interactive Web site under your domain including all of the functionality of our ASP applications.

    By intergrading your Web site with our ASP solutions, you are able to access all of your association’s information in real-time. Property owners can view their account status and update communications information securely from any Internet connection.

  4. Up to 20 e-mail addresses under your domain name.

    Stop using your personal e-mail address. You can issue address (up to 20) for whatever reason. E-mail forwarding can be created on an unlimited basis. And this information can be maintained by both you and our staff, depending on your needs.

    By issuing e-mail addresses and forwards, your membership don’t have to change their address books when a board position changes.

  5. Business and financial administration and consulting, including 24/7 real time reporting and communications.

    Reports are available to your Board 24/7, and up to date. Your treasurer doesn’t have to wait for reports to be faxed or mailed to verify accounting information.

    The world of Community Associations is ever changing. As a member of the Community Association Institute, we stay on top of trends happening throughout the country. This include a wide variety of forms and samples that we can provide at no extra cost.

  6. Voice-mail box at a local and toll free number with remote notification compatibility.

    This allows you to give out one of our numbers, callers can then be transferred to your voice mail for announcements in your voice. The voice mail can then be set up to call or page you and let you know there is a message.

    In place of the voice-mail, a Custom Call Routing system can be establish to communicate better with your membership (i.e. press 1 for events, press 2 to leave a message, etc.).

  7. Initial and ongoing training of Board and officers.

    We offer ongoing training to your Board at no additional costs. New Board members can be brought up to speed quickly, and existing Board members can periodically sit in for a refresher.

    Additionally our newsletter helps keep you informed on changes in legislation, resource available to your members and more.

  8. Configuration and "Paste Up" of 4 page, quarterly newsletter, and digitization of final product for Internet access.

    We work with your membership to compile a 4 page quarterly newsletter, and get it ready for the printer, and have it delivered to where you need it. If you mail your newsletter out to your membership, we will prepare the labels and mail it out using our bulk permit for reduced postage costs.

  9. Telephone Alert & E-mail Alert Network.

    Using our technology you can send out e-mail & telephone alerts to your membership with very little notice. Access can also be allowed from agencies such as local police to alert your residents of potential problems.

    Alerts can easily be made in your voice, our staff, or a computerized voice synthesizer. Residents can update their alert information themselves from there personalized Web page.

  10. Secure Internet communication from and to your general membership.

    You no longer need to keep updating your e-mail address book. Alerts and e-mails can be sent out to members, officer, or board from our web interface. E-mail address are no longer broadcast to everyone on the list.

    When a resident changed their e-mail, simply changing their record on our ASP updates all lists they are affiliated.

  11. Processing, Collections, and filing of liens on delinquent assessments.

    We have automated the process of collections. Late fees and liens are processes and, if needed, filed with the county, on thresholds your Board establishes.

  12. Contract, Covenants, and Restriction letters and tracking.

    We mail out all violation letters under our signature, providing a buffer between the Board and your neighbors.

  13. Home Owner Association Services work with service providers to get your association the best price. From landscape and pool companies, to trash services. From holiday lighting and displays, to street banners let us help you get the best deal. We can also assist in event planning, registration and much more.
